How the
System works:
- Enter particulars of client:
A simple form registers all clients including
contact, phone & fax numbers.

Enter particulars of job:
Enter details of job, including address, PS no, client and short description
of requirements, then click a button and print out the job packet
- Enter particulars of Invoice: When job is complete, type in job
number and all details of client and job are automatically inserted into
invoice. Type in particulars and amount of job. Click a button and print out
invoice. An invoice based on time sheets (AutoInvoice) can also be
automatically created and altered if appropriate. Alternatively produce
"Project Invoices" based on percentage of work completed. Reports can be
produced that compare invoicing and time sheet values.

Enter payments when received: Enter payments either
in batch mode or enter on individual invoices
- Enter Credit Notes (if required): If necessary, type in
any credit notes
- Print out Monthly Statements:
Print out Monthly Statements to all clients who have an outstanding balance.
Monthly Statement includes job no. client references. address of job, amount
outstanding per job and overall amount due by client.

Enter particulars of Time Sheets: Enter
time sheets particulars, then use this information to create invoices, job
costing, employee times analysis or Work in Progress figures.
Cross-reference between time sheet value and invoicing.

Enter expenditure details:
Against your own account codes, enter details of cheques, and other
payments to print out a itemised list of all expenditure.

- Index Report: Sorted by LGA, Suburb, Street, PS
- Plan Report: A register of all deposited plans in
office, look up plans before ordering new copies
- Daily Job List: A register of all incoming jobs, including
client, location, PS, and instructions
- Time Sheets: Create an itemised schedule/invoice
(based on time sheets), or review time taken by individual employees
or analyse costings by Job Number.
- Invoices Summary: Enter a date range and summarise totals by month, client
or job department.
- Receipts Summary: Enter a date range and summarise totals
by month, client or job department.
- Credit Notes Summary: By client - within a user defined date range
- Invoices Summary: Monthly - In invoice number order or
by client order with totals for each client
- Receipts Summary: Monthly - In client order with totals
for each client or in date order
- Monthly Statements: Details outstanding invoices, including
job particulars, customers reference, balance due
- Client Ledger: Itemises all invoices and payments for
a given date range - either by client or job number
- Jobs Not Invoiced: Details all jobs not covered by at least
one invoice. Jobs not completed list also available
- Top Ten Sales Graph: Shows a 3-D column graph of top ten
customers for user defined date range
- Sales Figures Graph: Shows a 3-D column graph of Sales Figures
based on monthly or yearly values for user defined date range. Also
lists sales figures by month in financial year format within defined date
range.
- Receipts Figures Graph: Shows a 3-D column graph of Receipts based on monthly
or yearly values for user defined date range. Also lists receipts by
month in financial year format within defined date range.

Work in Progress Report: Show
jobs not completed. Sort by client, target date or Team Leader

Compare timesheet value with invoice value:
Compares Timesheet value against actual invoiced value.

Weekly payroll summary. Based on timesheet
entries, summarises employee times for week, including sick leave, etc if
entered.

Profit and Loss Report. Shows all
income and expenses for period selected.

GST Reconciliation. Summaries all
income and expenditure and produces report for BAS statements - covers both
Accrual and Cash basis

There are over 65 reports in this system.
Features:

they can be emailed.
- No need to purchase pre-printed stationery,
programme automatically produces same, including logos, etc.
- Know almost instantly how much is outstanding
by any client for any job. Can also use sub job numbers.
- Search database by DP number to save money
by not ordering DPs that are already in your office.
- Every report can be viewed on screen or printed
- Keeps complete records of all income and
dissects same. Use Project Invoice feature.
- At the end of the financial year, print a
summary of all income and expenses for the year and hand to your Accountant
- Use timesheets feature to track time spent
on job functions such as Drafting, Preliminary Fieldwork, Administration,
Survey Work (site or office) etc. This can be dissected by employee
or job no
- Reports and invoices can be saved in PDF format

Job particulars can be exported to Word for easy preparation
of Identification Surveys, etc.

paid on invoice, show bank debit details on invoice, trace Sydney Water
Jobs, change header for Monthly Statements.

Version 5.80 is for
use on an IBM Compatible computers running Windows XP, Vista & Windows 7. System can be
standalone or networked.
